Privacy Policy

Last updated: June 28, 2026

This Privacy Policy explains how POS Systems ("we", "us", or "our") collects, uses, and protects information in connection with the POS point-of-sale software. POS is offline-first: most of your business data stays on your own device and is never sent to us.

1. Information we collect

We collect only the limited information needed to license, secure, and support the software:

  • Account information — the name and email address you provide when creating your owner or staff accounts. Passwords and your recovery PIN are stored only as salted, hashed values; we never store or receive them in plain text.
  • Shop / organization profile — your shop name and contact details (such as address, phone, and email), which the app may sync to our admin panel during periodic online checks so we can administer your license and provide support.
  • License and device data — your license key, a non-identifying machine fingerprint used to bind the license to your device, activation counts, the application version, and related timestamps.
  • Support communications — the contents of any feedback or support request you submit, together with your shop's contact details so we can reply.
  • Technical data — when your app contacts our services (for example to validate a license), we may receive standard technical information such as your IP address and request metadata.

2. Information stored only on your device

Your operational business data — including sales, customers, products, suppliers, and purchases — is stored in a local database on your device. We do not collect or receive this data in the normal course of using the software. It only leaves your device if you choose to send it to us (for example, by attaching a backup to a support request) or export it yourself.

3. How we use information

We use the information described above to:

  • issue, activate, validate, renew, and revoke licenses;
  • authenticate users and secure accounts;
  • provide customer support and respond to your requests;
  • send service-related communications, such as password reset links you request; and
  • comply with legal obligations and enforce our Terms of Service.

4. How we share information

We do not sell your personal information. We share information only with service providers who help us operate the software (for example, email delivery for password resets and support replies), and only as needed for those purposes. We may also disclose information where required by law or to protect our rights, users, or the public.

5. Data retention

We retain account, license, and support information for as long as your account or license is active and as needed to provide the service, comply with our legal obligations, resolve disputes, and enforce our agreements. When information is no longer needed, we delete or anonymize it.

6. Security

We use technical measures to protect information, including salted password and PIN hashing, signed session cookies, and storing secrets outside of source control. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security. You are responsible for keeping your credentials and recovery PIN confidential.

7. Your rights

Depending on where you live, you may have the right to access, correct, or delete the personal information we hold about you, or to object to or restrict certain processing. To make a request, contact us at the address below. We will respond in accordance with applicable law.

8. Children's privacy

The software is intended for business use and is not directed to children. We do not knowingly collect personal information from anyone under 18. If you believe a child has provided us information, please contact us so we can remove it.

9. International processing

Information we collect may be processed and stored in the country where our servers or service providers are located, which may differ from your own. Where required, we take steps to protect information that is transferred across borders.

10. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will revise the "last updated" date shown above. Your continued use of the software after changes take effect constitutes acceptance of the updated policy.
